The brief

OK Gold runs a network of licensed dispensaries across Oklahoma, and its weekly operating rhythm had become a quiet burden. Every Monday, the team sent strains to testing labs by location, received long technical reports, cropped them down to the legally required details, wrote fresh product stories for the website and separate copy for email marketing, updated each location’s availability, and sent segmented emails to customers near each dispensary. The work was repetitive, slow, and prone to human error, and compliance left no room for error. The client didn’t need a prettier website. He needed a content system: brand strategy, website design, automation, and AI working together so that one weekly input could drive everything downstream, accurately and on time.

One entry, every outcome

Before designing anything, we mapped the client’s entire weekly workflow as a single diagram: lab reports in, websites and emails out, with a dozen manual steps in between. The strategic insight was simple but demanding, almost every step was a transformation of the same underlying data. A strain’s lab result, its website description, its email mention, and its location availability were all views of one record. So we restructured the operation around a single source of truth in Airtable. The client enters which strains are available at which dispensary; everything else, formatting, storytelling, publishing, sending, became a downstream consequence of that one entry.

A flexible CMS

The visible websites sit on Webflow, but the real architecture lives underneath. Airtable holds the master database: every strain with its pre-filled attributes, every dispensary, every lab result. Make.com scenarios watch for changes and push them into Webflow’s CMS collections, creating, updating, and unpublishing items dynamically across each dispensary’s individual site. Zapier and Google Workspace handle supporting connections; MailerLite receives segmented audiences and sends the weekly campaigns; the ChatGPT API drafts the long-form website stories and shorter email copy from structured strain data. Nothing is hard-coded. When the client adds a strain on Monday morning, the system handles publishing, content generation, and distribution, repeatably, and without a developer in the loop.

The results: A weekly ritual reduced to a single update

The clearest outcome is operational: a process that once consumed significant time and several pairs of hands each week now requires one structured Airtable entry. Lab results, strain descriptions, location pages, and marketing emails publish consistently and on schedule, which matters in a regulated healthcare context where errors carry real consequences. Customers now see accurate, location-specific availability every Monday, with lab transparency built into every product page. Strategically, OK Gold moved from keeping up with its own operations to having room to grow them, adding a dispensary or a strain now means adding a record, not adding work.

Teaching the machine the brand's voice

Automating content is easy; automating content worth reading is not. The ChatGPT API integration was treated as a writing system, not a shortcut. We engineered structured prompts that take a strain’s lab attributes and pre-filled characteristics and produce two distinct outputs: a longer, editorial story for the website and a tighter, warmer version for email, each in OK Gold’s refreshed brand voice. We tested outputs across dozens of strains, constrained the model against medical claims it cannot legally make, and built the prompts so tone stays consistent even as inputs vary. The trade-off was deliberate: slightly more upfront design for content that never drifts into generic AI filler.

Automation that removed repetitive work and the errors that came with it

The deepest value of this project is in what no longer happens. Lab reports no longer get cropped by hand, so the wrong detail never makes it to a page. Availability no longer gets retyped per location, so a strain never appears at the wrong dispensary. Emails no longer get assembled manually, so customers never receive another location’s list. Each Make.com scenario was designed with the failure modes of the old process in mind, with Google Workspace notifications flagging anything that needs a human eye. In a healthcare context governed by state regulation, this isn’t just efficiency, it’s risk reduction, built into the infrastructure rather than left to weekly vigilance.
Each strain card on the live site is generated automatically – description, availability, and compliant lab data assembled from a single Airtable record.

Conclusion

OK Gold came to us with a workload; what it needed was an architecture. By treating the weekly cycle as one system: brand, websites, data, AI content, and email connected end to end. we replaced a fragile manual routine with infrastructure that publishes accurately, communicates in the brand’s voice, and scales as the dispensary network grows. The client’s Mondays now begin with a single update instead of a day of production work, and customers receive clearer, more reliable information for it. We believe the best work isn’t the loudest page or the cleverest automation, it’s the system that quietly keeps working long after launch, which is why we still maintain and refine it today.
